  • Job Description

    Performs a variety of general administrative tasks in support of the day-to-day operations of an office, group or customer.


    Copy and assemble student manuals, emails, handouts, and instructional aids. Coordinate logistics for VTC, classroom, and/or residential training to include transportation arrangements, meal planning, shipping of course materials to training site, etc. Set up classroom, arrange VTCs, support instructor, collect materials, clean tables, and lock classroom. Upload course materials to the learning center website. Send emails to participants, adjuncts, and others according to course schedule, and track emails sent and recipient responses. Record and respond to questions from students, facilitators, and others as necessary. Assist with documenting SOPs of procedures, roles, and duties. Manage mailing, receiving, logging, and assessing the completion of courses and materials. Mail pre-course materials, letters and administrative materials, including online pre-course materials. Ensure sufficient course materials are ordered and track delivery. Submit visitor access requests and escort visitors as needed. Give student course credit and send course evaluations following established processes. Answer training credit inquiries. Core hours: 9:00-3:00 (sometimes later time is necessary dependent on course schedule - a few times per month)


    1. Performs a variety of general administrative tasks, such as preparing reports and correspondence, answering phones, filing, and sorting and distributing mail, in support of the day-to-day operations of an office, group or customer.


    2. Compiles various contract, program, and financial data using various database programs, and prepares monthly status reports based on the results.


    3. Collects and inputs timesheet information into automated accounting system and processes labor corrections.


    4. Processes purchasing requisitions, invoices for consultants and subcontractors, and travel and expense reports.


    5. Serves as point of contact for the office or group on issues related to accounting, human resources, purchasing, and other departments, as well as outside contacts such as customers, vendors, and subcontractors.


    6. Participates in special projects as required.


    1. Requires a High School Diploma or GED.


    2. Associates Degree preferred.


    1-3 years of related administrative experience.
